Electronic Signatures

Speeches Shim

As USAID seeks approaches to improve how we manage our awards with our partners in a digital environment, we are excited to announce the launch of a new electronic signature process that will streamline the signing and document management process, while increasing security. This additional approach to the current method of signing documents will shorten the time required to process awards and eliminate the need for printing, physical signing, and scanning on the part of partner organizations.

Please note that the Agency will also continue to accept hard copy signatures and other methods that are currently used.

The new signature platform will be expanded to be a centralized portal serving as an entry point for partners to manage award documents and access reference resources.  We are working on an Agency-wide consolidation and use of Login.gov to make it seamless to work with USAID.

Beginning in April, this new process will only be available for those partners conducting business with the following Missions and Operating Units:

  • USAID/Colombia
  • USAID/Frankfurt
  • USAID/Peru
  • USAID/Philippines
  • USAID/Sri Lanka

Expansion of the Login.gov e-signature tool to all Agency Missions and Operating Units is anticipated by the end of the calendar year.

If you elect to use the new signature process, no action is needed on your part other than setting up a Login.gov account, a process that routinely takes less than one minute. Many of you may already have a Login.gov account to access Agency applications, including the Development Information Solution (DIS), in which case no further action is needed.  No software is needed to utilize this tool.  As a partner, all you must do is:

  1. Set up a Login.gov account;
  2. When a USAID team member sends you a document to sign, open the document via the email link; and
  3. Authenticate with your Login.gov account and sign the document when prompted.

If you have questions about signing a specific document, contact the Agreement Officer, Contracting Officer, or the sender of the document, so they may assist you with using the new system or provide an alternative method of acceptance. If you have questions regarding the new signing process please contact digitalsignatures@usaid.gov

We believe the adoption of the Portal and new digital signing feature will be seamless for your teams.  If you have any questions, please refer to this Partner FAQ or contact digitalsignatures@usaid.gov.
