TITLE OF POSITION : Secretary
OFFICE : Population, Health and Nutrition (PHN)
GRADE : FSN-6
LOCATION : The position is based at New Delhi.
WORKING HOURS : 40 hours per week, Monday to Friday, 8:30 am to 5:30 pm.
EDUCATION :

Completion of secondary school is required. Completion of business or secretarial training is desirable.

EXPERIENCE :

2 years secretarial experience is required.

DUTIES :

The incumbent will serve as secretary to the HIV/TB Division of the PHN Office and will provide full range of secretarial assistance and support to the Division Chief of HIV/TB division and other professionals of the division. The position will report to Division Chief, HIV/TB Division.

The incumbent will carry out day-to-day administrative functions for the division including, maintaining the filing system, scheduling activities and meetings, supporting preparation of correspondence and documents, taking minutes in meetings, sharing relevant documents with team members, maintaining database for contacts/office staff, making travel arrangements and liaison with counterparts, cooperating agents and other partners. He/she will provide complete secretarial support to ensure smooth program implementation under the President’s Emergency Plan for AIDS Relief (PEPFAR) program and the Tuberculosis (TB) program. He/she will also liaise with other USG agencies and provide back-up secretarial support on limited basis to the PEPFAR unit to further advance USG objectives. The incumbent may also be required to act as a back-up for the PHN office lead secretary.

LANGUAGE :
Fluency in English and Hindi is required.
KNOWLEDGE :

Thorough knowledge of general office procedures and practices. Sound knowledge of English grammar is required.

ABILITY &  SKILLS :

Ability to type minimum 40 wpm accurately; set up and maintain working files; and understand duties, priorities and commitments of the supervisor and staff members. Working knowledge of MS Office programs, such as Excel and PowerPoint, is essential.

FSN employees currently serving their probationary period or with less than one year of USG service are not eligible to apply. Employees desiring a change after the initial probation period will be required to be in their present position for not less than 120 days.

The selected individual will be compensated in accordance with the Local Compensation Plan for Foreign Service National (FSN) employees.

Applicants living outside New Delhi should note that if selected for the position, no resettlement travel or housing is associated with the position. It would be candidate’s responsibility to travel to New Delhi in a timely manner for the pre-employment clearances.
